The challenge

The business receives residential handyman, repair and home maintenance requests through an intake form, with customers asking for either a paid on-site assessment or a photo-based estimate. Requests, estimates, job events, invoice events and purchase receipts all arrived through different systems, and without automation the same data was re-entered repeatedly. Staff had to search HousecallPro manually before deciding whether to update an existing customer or create a new one, which raised the risk of duplicate records and incomplete data. Assessment requests and photo estimates need different follow-up but arrive from the same form, so manual routing could delay confirmation or send a request down the wrong path. Preparing a photo estimate meant reviewing uploaded images or videos, understanding the work, identifying materials, searching prices, selecting a margin, calculating labor and preparing a professional estimate, which is repetitive and inconsistent by hand. The owner then reviewed each estimate, and multiple revision rounds could lose earlier instructions. Customers often did not reply after an estimate went out, so reminders had to be tracked. HousecallPro job events (scheduled, technician on the way, work started, work completed, new job) were monitored manually, making missing technician assignments and PO references harder to catch. When an invoice was paid the business had to work out whether it was a deposit or final payment, and Home Depot receipt emails had to be matched to the right job while open invoices were checked for balances three to thirty days overdue.

The approach

Six stages cover the customer journey while decisions stay with the owner. On a new request the process checks whether the customer already exists, updating the record or creating a new one so data stays organized. Assessment requests route to the owner for scheduling with a customer confirmation, while photo-estimate requests move into estimate preparation using the customer supplied photos or videos. Request details, media, likely materials and current prices are combined into an estimate draft, and the owner chooses the margin and reviews the result before it is used; on approval the estimate saves with the customer record and the original images attached. Follow-up then sends reminders when a customer has not responded and tracks important job stages, including scheduling, technician assignment and job creation, warning when a scheduled job has no technician assigned. After payment the process sends the correct follow-up, which for the connected final-payment path means a Google review request to the customer and a paid-invoice notification to the owner. The flow also matches purchase receipts to jobs and follows up on overdue invoices, with media errors and uncertain receipt matches handled by clear manual review paths.
