The challenge

A company had a two-step lead form where Step 1 collected contact information and Step 2 scheduled a Calendly demo booking. A significant number of leads completed Step 1 but never returned to complete Step 2, representing lost opportunities. The challenge was building a recovery automation that captured Step 1 completions, waited to see if the booking happened, routed abandoned leads into a reminder sequence, and prevented duplicate outreach to leads who eventually completed the full flow. The existing fully-booked lead sequence could not be disrupted by the recovery logic.

The approach

We built a Zapier automation that captures every Step 1 form completion and enters a waiting period to monitor for a completed Calendly booking. Leads who complete both steps are excluded from the recovery track automatically. Leads who do not book are routed into a dedicated MailerLite reminder sequence with strategic timing. Duplicate-prevention logic ensures that leads who eventually complete Step 2 are removed from the reminder sequence before any follow-up email is sent. The automation was tested across all key paths: leads who only completed Step 1, leads who completed both steps immediately, and leads who completed Step 1 with a delayed booking several days later.
