The challenge

A company needed a repeatable, automated pipeline for pulling event-focused decision-maker leads from Apollo, enriching the data, preventing duplicates, and syncing validated pending leads into GoHighLevel on a scheduled basis. The pipeline needed to maintain clear sync-status logging so the team could track exactly which leads had been processed, which had failed, and why. Deduplication was critical: the same lead should never appear in GoHighLevel more than once. Batch processing was required to respect API rate limits and avoid overwhelming GoHighLevel with sudden large imports.

The approach

We built an n8n pipeline that runs daily scheduled Apollo People Searches filtered by role, industry, company size, and revenue. Each search pulls across multiple pages to maximize lead coverage. Deduplication is applied at two levels: first by Apollo Person ID to avoid duplicate Apollo records, then by enrichment via Apollo People Match to populate email, title, company, and social profiles. Google Sheets serves as both the working database and the sync queue. Before any record is appended to the Sheets queue, the system checks against existing Lead IDs and emails in the sheet to prevent duplicates. A weekday sync job validates that each pending record has the required fields: email, first name, last name, company, and phone. The sync limits batches to 30 leads per run to respect GoHighLevel API rate limits. Each lead is checked against existing GoHighLevel contacts by email before a new contact is created. Sync status is logged for every record: pending, validated, synced, skipped (duplicate), or failed.
