An independent insurance broker approached Systems by Sami with a clear requirement: build a scalable, compliant lead-generation and outreach system without relying on mass-email tools. The broker explicitly rejected generic blast campaigns. Instead, they wanted a research-led, personalized outreach engine powered by ChatGPT and Claude for every stage of the prospect journey: research, qualification, personalization, and follow-up. The scope was two distinct outbound pipelines. Pipeline One targets referral partners across multiple professional verticals: P and C agents, life and Medicare agents, mortgage professionals, realtors, CPAs, financial advisors, business consultants, and HR and payroll professionals. Pipeline Two targets employers for group health insurance, employee benefits, Section 125 cafeteria plans, and supplemental benefits, using defined criteria such as location, state, industry, employee count, company size, estimated eligibility, and whether the employer currently offers benefits. Both pipelines required full email authentication (SPF, DKIM, DMARC), deliverability monitoring, suppression management, compliant SMS integration respecting TCPA and A2P 10DLC requirements, and a single CRM system of record per prospect with complete activity tracking.
We designed two outbound pipelines with embedded AI research, qualification, and personalization at every stage. The foundation was professional email infrastructure built for scale, not spam. This included full domain and mailbox authentication, reputation management, email verification and list hygiene, bounce management, sending-volume control, deliverability monitoring, and unsubscribe and suppression management. Personalized cold-email sequences were deployed with automated follow-ups, reply detection, positive and negative response classification, and AI-assisted response drafting. For Pipeline One, we built continuous referral-partner identification logic that finds qualified prospects, verifies business contact information, categorizes by industry, researches each prospect and company, and enrolls prospects in industry-appropriate outreach sequences. For Pipeline Two, we configured employer-group targeting with decision-maker identification, contact enrichment and verification, opportunity scoring, and routing into the correct outreach campaign. We integrated AI layer capabilities across all stages: lead research summaries, AI qualification scoring, tailored messaging per company and industry and role, reply classification into seven categories, response drafting for review or auto-send, and campaign optimization tracking. SMS was configured only where legally permitted with TCPA compliance, consent tracking, opt-out handling, suppression lists, quiet hours, and carrier requirement adherence. A single CRM dashboard consolidated every prospect record with name, company, industry, title, email, phone, lead source, lead category, AI qualification score, email and SMS activity, replies, last contact, next follow-up, appointment status, opportunity status, and notes.

Client retains full ownership of all accounts, automations, and documentation at handoff. This includes domain authentication credentials, mailbox access, CRM credentials, SMS account access, AI agent configurations, and all automation workflow files. Complete documentation of how every system operates is provided, along with training on operating and modifying the system independently.
